NoCoYO Privacy Policy

Information we collect

When a family uses NoCoYO’s interest form, audition form, season signup system, absence form, tuition assistance application, or Full Season Contract, we may collect student and parent or guardian names, email and mailing addresses, phone numbers, school and grade information, instrument and musical-experience details, teacher information, ensemble interests, audition recordings and links, volunteer commitments, absence details and supporting documents, confidential financial-assistance context, proposed payment amounts, and contract selections and acknowledgements. For electronic contracts, we also retain the signer’s identity and role, signature date, consent statements, submission timestamp, request IP address, browser information, contract version, and an exact copy and verification hash of the terms accepted. Where student rosters appear, students are identified by first name and last initial when appropriate.

How we use information

We use this information to recommend ensemble pathways, share audition and registration steps, review tuition assistance requests, administer the season, document contracts and electronic signatures, coordinate attendance and volunteer commitments, communicate with families, and send receipts, confirmations, updates, or cancellation emails. We do not sell personal information.

Gmail email service

Our website uses Google’s Gmail API only to send NoCoYO confirmations, reports, and signed-contract receipts to families and completion notifications to designated NoCoYO administrators. The website requests send-only access and cannot read, edit, or delete messages in the NoCoYO Gmail account.

Google Drive and response records

Interest-form, audition, absence, and Full Season Contract records may be added to private NoCoYO Google spreadsheets through the Google Sheets API. Audition recordings are uploaded into organized private folders in NoCoYO’s Google Drive so authorized artistic and administrative staff can review them. These records and recordings are not published or shared with the public.

MyMusicStaff registration connection

Authorized NoCoYO administrators use a read-only MyMusicStaff connection to reconcile website forms with current student registration and ensemble assignment records. The website stores only the registration details needed for this work, including student names, registration status, contact email addresses, instruments, and ensemble groups. The connection cannot change MyMusicStaff records, and automatic family outreach remains disabled unless NoCoYO separately approves and enables it.

Storage and access

Form, audition, signup, attendance, tuition assistance, and contract information is stored for NoCoYO’s operational use and is available only to authorized NoCoYO administrators or artistic staff with a legitimate review need. Tuition assistance responses are treated as confidential and limited to authorized leadership involved in reviewing the request. Signed contract records are retained in a durable format that preserves the terms accepted and can be reproduced for the family or NoCoYO. We retain information only as long as reasonably needed for recruitment, season administration, placement review, organizational records, dispute resolution, and applicable legal obligations.
